8:30 am – 5:00 pm
$24.00 - $27.00 per hour
SUMMARY
To provide high-level administrative support to the CEO to maximize productivity and effectiveness. Serve as the central point of contact, information hub, and coordinator for the executive office.
ESSENTIAL JOB FUNCTIONS
- Manage the CEO’s calendar, schedule meetings, coordinate travel, and organize events.
- Act as a gatekeeper by filtering communications, prioritizing correspondence, and managing calls and meetings.
- Prepare briefing materials, reports, presentations, and research to support executive decision-making.
- Take notes and minutes during meetings, track action items, and ensure follow-up on execution.
- Manage the office budget, submit expense reports, and coordinate invoices and purchasing.
- Coordinate across departments and work closely with the leadership team to facilitate workstreams.
- Organize team meetings, off-site events, and special projects while managing all logistics.
- Implement new administrative systems and processes to improve operational efficiency.
- Perform other administrative duties as assigned.
JOB REQUIREMENTS
- Excellent organizational skills and the ability to manage multiple tasks effectively.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office Suite and office equipment.
- Familiarity with Google Calendar, Google Docs, Zoom, and other cloud-based services.
- Ability to work independently, proactively, and with discretion.
- Professionalism, integrity, and the ability to handle confidential information responsibly.
- Dependability in meeting deadlines and delivering high-quality work.
- Flexibility to adapt to changing priorities and manage shifting demands.
- Strong attention to detail and problem-solving abilities.
- Experience in coordinating complex schedules and event logistics.
- Excellent customer service skills.
- Bilingual skills are a plus.
- Associate degree preferred, or a high school diploma with 5-7 years of relevant work experience.
- 5-7 years of experience as an Executive Assistant, Office Manager, or in a related field.
