EXECUTIVE ASSISTANT
Monday – Friday 
8:30 am – 5:00 pm
$24.00 - $27.00 per hour
 
SUMMARY
To provide high-level administrative support to the CEO to maximize productivity and effectiveness. Serve as the central point of contact, information hub, and coordinator for the executive office.
 
ESSENTIAL JOB FUNCTIONS
 
  • Manage the CEO’s calendar, schedule meetings, coordinate travel, and organize events.
  • Act as a gatekeeper by filtering communications, prioritizing correspondence, and managing calls and meetings.
  • Prepare briefing materials, reports, presentations, and research to support executive decision-making.
  • Take notes and minutes during meetings, track action items, and ensure follow-up on execution.
  • Manage the office budget, submit expense reports, and coordinate invoices and purchasing.
  • Coordinate across departments and work closely with the leadership team to facilitate workstreams.
  • Organize team meetings, off-site events, and special projects while managing all logistics.
  • Implement new administrative systems and processes to improve operational efficiency.
  • Perform other administrative duties as assigned.
JOB REQUIREMENTS
 
  • Excellent organizational skills and the ability to manage multiple tasks effectively.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office Suite and office equipment.
  • Familiarity with Google Calendar, Google Docs, Zoom, and other cloud-based services.
  • Ability to work independently, proactively, and with discretion.
  • Professionalism, integrity, and the ability to handle confidential information responsibly.
  • Dependability in meeting deadlines and delivering high-quality work.
  • Flexibility to adapt to changing priorities and manage shifting demands.
  • Strong attention to detail and problem-solving abilities.
  • Experience in coordinating complex schedules and event logistics.
  • Excellent customer service skills.
  • Bilingual skills are a plus.
  • Associate degree preferred, or a high school diploma with 5-7 years of relevant work experience.
  • 5-7 years of experience as an Executive Assistant, Office Manager, or in a related field.
